Company: Marketing / Research Services, Tucson, AZ Remarks: Company is a rapidly growing nonprofit organization, which is in need of a motivated and flexible individual to support our Executive Management Team as Chief of Staff. As an excellent communicator, trusted advisor, and implementer, the successful candidate makes sure the office of the CEO is running optimally based on the priorities of the CEO. Additionally, this role provides support to C-Path's Board of Directors, Executive Team, and the Leadership Team. Essential Job Duties and Responsibilities: Direct Support of the CEO

  • Work with executive leaders to set strategic priorities: help identify areas where leaders should direct their focus as well as help develop metrics for measuring success, revisit those metrics regularly and evaluate progress towards the goals.
  • Strategically manage CEO's time: working with administrative staff and project coordinators, evaluate executive leaders' external opportunities, including long-term travel and meeting plans, and assess their fit against priorities.
  • Act as gatekeeper: the Chief of Staff ensures the CEOs' involvement in project or decision-making processes takes place at key times, where their input and authority are most needed.
  • Prepare for and follow up on meetings: prepare CEO for upcoming meetings by ensuring he/she has all the information necessary to be productive and engaged.
  • Manage internal and external communications:--working with our communication vendor and internal teams, draft company announcements, reports, speeches, and presentations on their behalf and disseminate appropriately; draft scientific articles, white papers, and content for the purpose of external communications.
  • Coordinate agendas for CEO approval before Executive Team and Leadership Team meetings take the minutes and ensures follow-up action items are completed on-time.
  • Assist with organizing company retreats, conferences, and other special events, upon request.
  • Propose improvements in processes, communication, and other activities of C-Path. Project Management
    • Work with executive leaders and PMO to establish project plans for large, often cross-functional, organization-wide projects or initiatives; bring together important stakeholders and help drive decisions.
    • Research, perform benchmarking, analyze data, and make recommendations to improve processes.
    • Assist with the implementation of new systems and processes to streamline operations. Strategic Planning and Alignment
      • Facilitate logistics for the annual strategic planning process for the company by acting as a project manager and ensuring alignment with the CEO and Executive/Leadership teams.
      • Help determine key performance indicators and update dashboards as needed. Board management
        • Assist with board meeting preparation and distribution of board materials.
        • Support the preparation of the Board Committee meetings by coordinating agendas, preparing and sending out materials in advance, takes the meeting minutes, and ensure follow-up action items are completed on-time
        • Coordinates the monthly Executive Board meetings Engaging funders and stakeholders
          • Support CEO--in maintaining strong relationships with key funders and stakeholders
          • Maintain lists of funders, stakeholders, and partners with whom their CEOs want regular contact, and tee up communications or arrange meetings to support ongoing relationship building.
          • Effectively interact and communicate with internal and external stakeholders including governmental agencies like the FDA and EMA.
          • Researches additional sources of funding to support organizational efforts Education and Training:
            • D., Ph.D., or MBA
            • 5+years' experience in the industry and/or academia (biotechnology, CRO, software solutions) Knowledge/Skills/Abilities:
              • Strong analytical skills with the ability to collect, organize, analyze, and disseminate information with attention to detail and accuracy
              • Excellent communication skills and a proven track record of writing articles, preparing communications like presentations
              • Strong team player and self-awareness
              • Good understanding and ability to navigate systems and processes
              • Excellent interpersonal skills and political savviness
              • Excellent problem solving/decision making facilitating skills
              • Exercise sound judgment when making decisions and adhere to external and internal policies and regulations and values
              • Excellent organizational skills being adaptable and flexible
              • Demonstrated negotiation skills and results-oriented
              • Ability to proactively address issues or challenges without being specifically directed
              • Travel on occasion for out of town meetings (max 3-5%)
              • Proficient use of Microsoft Office Suite
